Terms & Conditions
When booking accommodation with Mattiscombe Farm Camping, you are agreeing to enter into a binding contract with us. References to ‘us’ and ‘we’ in these Conditions relate to Mattiscombe Farm Camping. References to ‘you’ or ‘your’ relate to the person making the booking and all members of that person’s party. When you book online or we email confirmation of a reservation to you, we enter into a contract with you, which is subject to these Booking Conditions.
General Booking Information
Booking Forms and Confirmation:
Booking forms are completed through the online booking system (Freetobook) connected on the website. A form will be filled in by us for any phone or email bookings and processed through the booking system.
You will be sent confirmation details of your booking details. Please get in contact if you do not receive this. Please check your confirmation details and notify us or any errors immediately. You must be over 18 to make a booking and each pitch booked must include 1 adult.

Payment:
During the processing of your completed online booking form, your deposit payment must be processed via our accepted payment options unless otherwise agreed. The initial payment consists of a 20% deposit which is non-refundable. The remaining 80% of your payment is due 1 week before arrival and you will receive a reminder message 10 days before arrival with a payment link for this outstanding payment. If the payment money is not received in this time, we reserve the right to cancel the booking.
The price of your stay will be confirmed at the time of booking. We reserve the right to correct errors in both advertised and confirmed prices.

Cancellation or Changes by You:
It is essential that you let us know immediately if you need to cancel your booking. Please telephone the office and confirm in writing within 24 hours. If you cancel your booking the following applies:

If you cancel more than 1 week before your arrival date you will lose the 20% non-refundable deposit. The remainder of any of your other payments made will be refunded less bank fees.

If you cancel less than 1 week before your arrival date you will lose your full payment.

If you book via a third party organisation and not directly via our website, they may have additional terms and conditions related to your booking. Please make yourself aware of these at the time of booking, as they are in addition to our policy regarding cancellation. We are only able to refund the portion of the booking fee we receive from the third party organisation and are not responsible for refunding any of their fees, commissions or charges.

Cancellation due to unforeseen circumstances:
We are not liable for refunds or expenses you incur in the event we are prevented from fulfilling your Booking as a result of circumstances beyond our control. Such circumstances shall include (but not be limited to) war, terrorism, riots or civil unrest, industrial action, flooding, natural disaster, epidemics, notifiable diseases, health risks or such similar events (“Force Majeure”). We strongly recommend that you have adequate holiday insurance in place to cover this.

Group Bookings:
Separate bookings as part of a group must notify us as soon as possible. We will do our best to make adjacent pitches available.

Travel Insurance
We recommend insurance to cover cancellation, loss, damage or injury. As a small business we are not able to act as your insurers and rearrange your stay due to your changes in personal circumstances.

Pets
We do allow pets at our site. Due to the sites location on a working beef farm, there is a limit of 2 dogs per pitch and charge of £2 per dog per night. We do not accept dog breeds listed in the Dangerous Dogs Act. All pets must be supervised at all times and we ask that dogs are kept on leads unless being exercised. If your pets are found, disturbing, harassing or harming our livestock, we reserve the right to cancel your booking with immediate effect without refund. Any vet bills caused by this will be forwarded to owner of dog/s.

Arrival and Departure
Arrivals times are between 13:00 and 20:00, early arrivals must be agreed with us prior to arrival. Pitches must be vacated by 11am on departure date unless otherwise arranged with us. Late departures may incur a fee of £10. Please let us know if you expect to arrive late or are delayed.
We ask you notify us if your arrival time has been delayed later than 20:00 and any extras ordered can then be collected from a designated point.
If you fail to contact us and have not arrived by midday on the day following the booking start date, we will treat your booking as cancelled and you will not be entitled to a refund.
Noise Policy and Behaviour
Our site is a small scale, peaceful campsite and has quiet hours of 22:00 - 7:00. We ask that you respect fellow guests as well as our neighbours by keeping noise to a respectable level. During our quiet hours all noise levels are to be kept to a minimum.
We reserve the right to deny access or terminate the stay of those guests whose behaviour is deemed unsuitable. No refunds will be offered.

Your Safety

Our beautiful countryside surroundings does bring risks from wild animals and poisonous plants. We accept no responsibility for any injuries/illnesses that you suffer as a result of bites, stings or eating or playing with poisonous plants. If uncertain, please don't hesitate to ask us and encourage children not to touch or eat anything they or you cannot positively identify.​

Children are welcome to explore the site, but they remain the parents responsibility at all times.

We will not be held responsible or liable for any accident, loss or damage whatsoever to persons, vehicles, tents, accessories or contents during your stay with us.

Our campsites and their landscapes include some steep slopes, rough terrain, trees, brambles and other natural hazards. Depending on the weather, conditions can be cold, wet, slippery or hot, dry and brittle.

We trust that you appreciate we can take no responsibility for the weather conditions at the time of your visit. We recommend that you come prepared with suitable clothing and footwear, so that you can enjoy the charm of the natural environment in all its diversity.

The flying of kites is prohibited for your own safety.

We reserve the right to close the campsite in extreme or dangerous weather conditions. The decision to do this is entirely at our discretion.

Fireworks, Chinese lanterns, weapons, generators and dangerous materials or substances are not allowed on the campsite.
By booking with Mattiscombe Farm Camping you are acknowledging that you are aware of the risks, hazards and dangers of entering the campsite.

Vehicles and Parking
Vehicles are permitted on site and maximum permitted speed is 5mph.
Extra parking is located at the entrance of the site for extra vehicles that are unable to fit onto designated pitches. This is to prevent obtrusion onto other pitches and obstruction of other guests movement and views.
Driving of vehicles regarded dangerous, unsafe and/or damaging to yourselves, others and/or the site will result in immediate cancellation of the booking without refund and may result in the authorities being notified or a charge for damages.
Each pitch includes 1 vehicle and extra vehicles cannot be used as accommodation.

Cleaning Policy
We ask that for the duration of your stay that your pitch and any other areas you use are kept in a respectable manner, and on departure the pitch is completely cleared and left as it was found, using waste and recycling bins provided. We reserve the right to blacklist guests who leave their pitch/es in a unacceptable manner.

Rubbish Policy
We provide a number of waste and recycling bins around the site. Please separate waste and rinse cans, bottles, plastic and tins before putting them into the recycling. Any rubbish larger than the bins provided must be removed from site by yourself.

Farm and Animals
Please ensure you keep to public footpaths and do not enter any part of the farm that is not the campsite unless otherwise stated (Including other fields). Do not feed or interfere with the cattle (We are a working farm). Ensure children are supervised at all times.
If wanting to feed the goats/sheep, be aware of the electric fence wires and only feed them grass unless one of our farmers has stated otherwise. Anything else may upset their diet and/or make them sick.

Smoking
Smoking on site is not permitted in and around any of the site facilities. We do allow smoking around the rest of the site, however please be respectable of wind direction and other campers.
Barbeques/Fires
Campfires are not permitted on site to prevent damage to grass and soil.
Firepits and barbeques are permitted but must have adult supervision at all times, and should be raised at least 25cm off the ground, bricks are provided to aid with this. A metal hot ash bin is provided on site and
Barbeques are to be left to cool and disposed of properly in the metal hot ash bin located with the general waste and recycling bins.
We hold the right to refuse the use of log/briquette firepits and BBQs at any time, especially during hot dry periods where fire risk is high.

Additional Extras
A mixed bundle of Firewood and kindling is available to order on site via phone numbers provided or through a member of staff when on site. Firepits can be hired, subject to availability.
These requests must be made between the hours of 9:00 to 20:00 unless previously arranged. Late arrivals may request the extras be left at a designated point with prior notice.
Toilets
Our composting toilets rely on reduced wet matter to function properly. We provide a container of dry matter which we ask that 1 scoop of is deposited into the toilet after use. Please use the bags and bins provided to deposit all nappies and sanitary products. Hand sanitiser is available at the toilet facilities and a hand wash station is available outside.
It is not permitted to empty grey or black water into the composting toilets, anyone found doing so will have their booking cancelled with immediate effect and will not be entitled to a refund.
Chemical Waste Deposit Point
The site has a Chemical Waste Point (CWP) located in our Waypark field, which is designed for self contained units. However if anyone is found emptying van or personal toilet cassettes into anything other than this will have their booking cancelled with immediate effect and you will not be entitled to a refund.
General Agreements

You agree to look after the tent pitches and campsite. You agree to keep it and leave it clean and tidy. If you break these conditions we may make an additional cleaning charge and/or make a claim against you for repair or loss as a result of damage caused.

You are expected to show due consideration for other people, including other guests, local residents and our staff. If you abuse the property or display dangerous or offensive behaviour towards the staff, landowners or any third party, we may refuse to allow you access to the property or ask you to leave before the end of the holiday. If this happens we will treat your booking, as having been cancelled by you and you will not be entitled to any refund.

You are in a natural environment and as such you agree to respect all local flora and fauna. Any damage, wilful or negligent, will be taken seriously and may result in you and your party being requested to leave the campsite. In such cases we will treat your booking as having been cancelled by you and you will not be entitled to any refund.

The number of people using the tent pitches may not exceed the number agreed when booking.

Changes to legal notices
We reserve the right to change these terms and conditions from time to time and you should look through them as often as possible.

Invalidity
If any part of these terms and conditions is unenforceable (including any provision in which we exclude our liability to you) the enforceability of any other part of these conditions will not be affected.
